Authorized personnel's alert box | |||
Objective | |||
Manage the alerts sent to the
personnel. The alerts may concern the students' results, absences and
memos. They are massively detected in GPI, using the prevention criteria
defined by the school, in the Alert detection production which can
be scheduled for automatic execution at the desired frequency. Alerts can
also be generated when memos are entered or when interventions on memos
are completed. Criteria allow the users to filter the display as required. A mechanism can be used to mark alerts so as to no longer see them. An access button, available for each alert, leads precisely to the student record page that concerns the alert, thus providing more details and facilitating the eventual interventions. Lastly, an icon is used to access the students' Mailbox, in order to produce a letter or e-mail that can be sent to a student's parents. A letter can also be produced for a selected group of students. |

Filter | |||
By default, all the alerts that have been sent to an authorized personnel and that are not marked as "read" are displayed on screen. However, the alerts can be filtered in accordance with any combination of the following criteria: | |||
Alerts | This criterion can
be useful to review alerts that were already marked as "read".
The choices are: - Read - Unread(default) - Read and Unread |

Concerning | This criterion is
used to filter a specific type of alert: - The results - The absences - The memos - All types (default) |

Since | This criterion is used to restrict the alerts displayed to those detected since a specific date. The date must be part of the current school year. If the date is not specified, al the alerts detected since the start of the year will be considered. | ||

The alerts are displayed in the
following order: - Student's family name and first name - Subject-section code - Competency number - Reason-for-absence code - Day-week number - Month number - Term code For each student with an alert, there is: |

Photo | Student's photo when available. | ||
Identification | Student's first name and family name. | ||
For each of the alerts, we get: | |||
Read | Check box used to mark the alert so that it no longer is displayed. The check box that appears at the top of the table is used to rapidly check or un-check all the alerts displayed in the current page. | ||
Subject-section | Code and description of the subject-section concerned by the alert, if such is the case. | ||
Description of the alert | Zone indicating
the specific data in the student record that launched the alert. The zone
is displayed in the colour corresponding to the type of alert associated
to the prevention criterion. When an alert concerns a competency, the description of the competency and its number, in brackets, are initially displayed on the first line of the section for the description. |

Term | Code for the term in which the alert was detected, if such is the case. | ||
Date | Date at which the alert was detected and placed in the alert box. | ||
Actions | |||
Filter alerts | Clicking on the command accompanying the filter criteria will display the alerts in accordance with the specified values. | ||
Navigate within the alert box | The alert box can be made up of several pages depending on the Number of students per page specified in the user's general options. In this case, the and commands are available to move from one page to another. | ||
Access the mailbox | The icon situated to the right of the student's name can be used to access their Mailbox, in order to produce a letter or send an e-mail to the adult responsible for the student. | ||
Access the student record | The command to the right of each alert provides access to the appropriate student record screen for the type of alert: Results, Absences or Memos, as required. | ||
Save | The Save command records the Read check boxes in the database. The read alerts will no longer be displayed by default. | ||
Undo | The Undo command cancels the changes entered in the Read check boxes. | ||
Produce a letter | The Produce letter command is used to produce a letter for each of the students selected. The Produce letter page is then displayed. | ||
